Central Library training rooms terms of use

The training rooms on level 1 of the Central Library were funded by the Wolfson Foundation to support the high demand for student PC access and provide library staff teaching space, reducing our need to use rooms elsewhere in College.

The Library manages a local booking system, giving priority to library training events, e.g. the information literacy programme, and student access.

Occasional bookings from other departments may be considered by the Team Leader: User Services during our advertised opening hours with the following provisions:

Termtime bookings : October - June

  • Bookings must be for student teaching or training
  • Requests for bookings can only be made up to 6 weeks in advance
  • Bookings may not occur between 11.30 and 14.30 Monday - Friday
  • Availability is based on maintaining a 50% student open access rate to rooms in core hours 09.30 - 17.30 i.e. in any one day the room is open access at least 4 hours
  • The Library reserves the right to decline any booking request
  • Bookings will only be accepted from members of Imperial College London
  • There will be no charge for booking

Vacation bookings : July - September

  • Requests for bookings can only be made up to 12 weeks in advance
  • Bookings may not occur before 09.30 or after 20.00 Monday - Friday, or Sunday
  • Bookings should be for individual events or short series of events of up to 6 occasions
  • The Library reserves the right to decline any booking request
  • Bookings will normally only be accepted from members of Imperial College London
  • There will be no charge for booking

IT and software requirements

  • Make a provisional booking with library staff and alert them to any special software requirements (we require at least 3 weeks notice for special software to be loaded).
  • Library staff will seek approval from ICT for loading the software.
  • If ICT approve the use of the software, the Library will confirm the booking and arrange for the software to be loaded.
  • If ICT do not approve the use of the software and the session cannot proceed, the Library will notify the organiser and cancel the booking. 

Responsibilities of session organisers

  • To notify library staff as soon as possible if they wish to cancel a booking.
  • To put an A4 notice outside the room indicating that there is a booking and giving the booking times.
  • To familiarise themselves with fire and safety procedures and announce these at the start of the session.
  • To ensure the room is left tidy.
  • To report any damage or problems with equipment or furniture to library staff.

Responsibilities of library staff

  • To notify session organisers of any equipment or other problems which may affect their session.
